Job description
The Executive Assistant role within the Sports and Entertainment division provides high-level administrative, organizational, and coordination support to the leadership team of Red Sea Sport & Entertainment. The role ensures efficient day-to-day operations by managing executive schedules, coordinating internal and external communications, and supporting the delivery of strategic and operational initiatives across RSSE. Responsibilities include calendar and meeting management, preparation and review of correspondence, reports, presentations, and official documents, coordination of executive travel and visitor logistics, confidential handling of sensitive information, and tracking action items across departments to ensure timely completion. The role also supports budget tracking, invoice processing, procurement administration, onboarding of new team members, documentation management, and provides logistical and administrative support during events, site visits, workshops, and executive engagements. The position interfaces closely with internal stakeholders including leadership, HR, finance, procurement, health and safety, operations, facilities management, and Red Sea Global corporate offices.
Required skills
Key responsibilities
- Manage executive calendars, schedule meetings and appointments, and ensure optimal time management for leadership
- Prepare, review, and edit executive correspondence, reports, presentations, and official documentation
- Coordinate travel arrangements, itineraries, transport, and accommodation for executives and visitors
- Handle sensitive information with strict confidentiality and professional discretion
- Track action items, follow up with internal departments, and ensure timely completion of assigned tasks
- Organize and support internal and external executive meetings including agenda preparation, minute taking, and follow-up actions
- Support budget tracking, invoice processing, and procurement-related administrative activities
- Maintain organized filing systems and documentation for administrative and project-related materials
- Support onboarding processes for new team members within the department
- Provide logistical and administrative support for events, site visits, workshops, and executive engagements
Experience & skills
- Hold a Bachelor’s degree in Business Administration, Management, Office Administration, or a related field
- Demonstrate two to three years of experience supporting senior leadership roles
- Demonstrate experience in executive calendar management, travel coordination, and document preparation
- Apply experience working in fast-paced, site-based, or project-based environments
- Demonstrate proficiency in Microsoft Office Suite including Outlook, Excel, PowerPoint, and Word
- Demonstrate strong English communication skills with Arabic language capability considered an advantage
