Job description
The Operations Executive in Dubai is responsible for end-to-end coordination of import and export shipments across air, sea, and land freight. The role ensures accurate shipping documentation including HBL, MBL, AWB, commercial invoices, packing lists, and certificates of origin, while maintaining compliance with customs regulations, port authority requirements, and international trade laws. The position requires coordination with airlines, shipping lines, NVOCCs, transport providers, warehouse teams, customs brokers, and agents at origin and destination. Responsibilities include shipment tracking, monitoring cargo status to prevent demurrage or other avoidable costs, managing operational risks, and providing regular updates to customers. The role also encompasses operational reporting, continuous improvement of SOPs and workflows, adherence to company KPIs and SLAs, and proactive problem solving to maintain service standards. This position emphasizes accuracy, process adherence, stakeholder coordination, and customer-focused operational excellence within the freight forwarding industry.

Key responsibilities
- Coordinate and manage the end-to-end lifecycle of import and export shipments across air, sea, and land freight, ensuring timely execution and compliance with company SOPs and international trade regulations.
- Book shipments with airlines, shipping lines, NVOCCs, and transport providers while monitoring scheduling, routing, and documentation for accuracy, and maintaining strong vendor relationships to ensure reliability and cost efficiency.
- Prepare, review, and verify all required shipping documentation including HBL, MBL, AWB, commercial invoices, packing lists, and certificates of origin to ensure compliance with customs, port authorities, and international trade laws.
- Track and monitor cargo movements through multiple carrier platforms and internal systems to prevent demurrage, detention, storage charges, or other avoidable costs, escalating issues proactively to maintain operational continuity.
- Act as the primary operational contact for customers, providing ETD/ETA updates, managing shipment exceptions, responding to queries, resolving operational issues, and ensuring high levels of client satisfaction throughout the shipment lifecycle.
- Coordinate effectively with internal teams including warehouse, SCM, and operations, as well as external stakeholders such as customs brokers and agents at origin and destination, ensuring smooth handoffs and information flow across the supply chain.
- Maintain operational efficiency by preparing weekly and monthly shipment reports, performing trend analysis, identifying performance gaps, and recommending process improvements to SOPs, workflows, and service quality initiatives.
- Manage customs compliance, verifying HS codes, duties, and taxes, ensuring accurate customs declarations, and submitting online documentation via platforms such as Dubai Trade and E-Mirsal 2, while keeping up-to-date with regulatory changes.
Experience & skills
- Possess a Bachelor’s Degree in logistics, supply chain, or a related field, or equivalent professional experience in freight operations.
- Minimum of 5 years of experience in the freight forwarding industry, preferably in a high-volume, fast-paced operational environment.
- Demonstrated ability to manage import and export shipments across air, sea, and land, with strong knowledge of international trade laws, customs procedures, and port regulations.
- Proven experience in preparing, reviewing, and verifying shipping documentation including HBL, MBL, AWB, commercial invoices, packing lists, and certificates of origin.
- Strong decision-making skills with the ability to prioritize and manage multiple shipments simultaneously under tight deadlines while maintaining accuracy and compliance.
- Excellent analytical and problem-solving skills to identify operational bottlenecks, resolve discrepancies, and implement corrective actions proactively.
- Highly organized, systematic, and process-driven approach to operations, with attention to detail in documentation, tracking, and reporting.
- Exceptional communication and interpersonal skills to liaise with customers, internal departments, carriers, customs authorities, and external agents effectively, ensuring smooth operational execution and client satisfaction.
