Job description
The Management Support Senior Specialist at SAP provides high-level executive, operational, and project support to the Global Head of Services Sales and Premium Portfolio, including collaboration with Board Members, Global Executive Team (GET), and L1 executives. Based in Dubai with a hybrid working model, this role is positioned within a dynamic, global enterprise environment where precision, confidentiality, and proactive leadership support are critical. The position goes beyond traditional administrative responsibilities, acting as a strategic enabler who ensures seamless daily operations, optimized executive workflows, and effective cross-functional coordination. The incumbent will manage complex calendars and communications, prepare executive presentations and reports, coordinate global travel logistics, and contribute to department-wide programs and initiatives. Additionally, the role supports accounting, controlling, and reporting processes while maintaining accurate documentation, CRM systems, and filing structures. A strong ability to engage with senior stakeholders across functions and geographies is essential. The ideal candidate is highly organized, detail-oriented, capable of independent problem-solving, and comfortable operating in fast-paced, international environments that demand professionalism and discretion.

Key responsibilities
- Manage complex executive calendars, meeting schedules, inboxes, and high-volume correspondence for senior leadership
- Coordinate domestic and international business travel, prepare agendas, and manage expense processes in compliance with corporate policies
- Prepare high-quality reports, executive presentations, board materials, and project documentation
- Support accounting, controlling, and reporting activities with accurate tracking and documentation
- Maintain organized filing systems, CRM records, and data repositories ensuring accuracy and confidentiality
- Coordinate department-wide meetings, events, leadership programs, and strategic initiatives
- Collaborate on cross-functional projects across global teams, ensuring alignment and timely execution
- Act as a trusted liaison between senior executives and internal/external stakeholders
- Monitor and optimize executive workflows to improve operational efficiency
- Handle sensitive information with the highest level of discretion and professionalism
Experience & skills
- Several years of experience in senior administrative, executive assistant, or management support roles
- Proven experience supporting C-level executives or senior leadership in multinational or fast-paced environments
- Strong organizational, multitasking, and prioritization capabilities
- Excellent written and verbal communication skills with strong stakeholder engagement abilities
- Ability to work independently, anticipate needs, and solve complex operational challenges
- High level of professionalism, attention to detail, and customer-centric mindset
- Proficiency in Microsoft Office Suite and enterprise systems (e.g., CRM, reporting tools)
- Comfortable working in cross-functional and global team environments
- Willingness to travel occasionally (0–10% as required)
