Job description
AlixPartners is seeking a polished and proactive Business Support Team Assistant and Receptionist to join its Dubai office. In this dual-capacity role, youâll be the welcoming face of the firm while also providing administrative support to senior stakeholders. As part of a hybrid and inclusive work culture, youâll ensure smooth daily operations at the front desk, support visiting clients and internal colleagues, and maintain efficient office processes. You'll also contribute directly to the success of senior consultants by managing calendars, documents, expenses, and coordination of meetings and logistics.
Required skills
Key responsibilities
- Welcome and manage internal and external guests with professionalism and warmth
- Manage reception calls, visitor access, meeting room bookings, and calendar coordination
- Prepare and serve refreshments for meetings; ensure meeting rooms are reset and ready for the next use
- Coordinate document-related tasks such as printing, scanning, binding, and archiving
- Provide administrative support to Directors and Partners including scheduling, travel, and internal logistics
- Process expenses, enter time records, and handle internal system tasks for finance and project support
- Manage incoming and outgoing deliveries, maintaining clear communication with staff
- Reorder office supplies and catering provisions while maintaining cost control
- Support Corporate Services with ad hoc administrative tasks and during team absences
- Escalate complex issues to the Office Manager and maintain confidentiality at all times
Experience & skills
- 2â5 years of experience in a receptionist or executive assistant role in a professional services firm
- Fluent in English (Arabic is a plus)
- Highly organized with strong attention to detail and the ability to manage competing priorities
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent interpersonal skills with a calm and confident demeanor
- Experience managing schedules and coordinating meetings with internal and external stakeholders
- Ability to work flexible hours, including occasional overtime or shift changes
- Professional appearance and customer-oriented attitude
