Job description
The Executive Secretary at InterContinental Riyadh provides high-level administrative support to ensure smooth operation of the office and support leadership teams. Responsibilities include managing office files, documents, records, and correspondence while maintaining confidentiality. The role involves scheduling and coordinating meetings, appointments, and travel arrangements, as well as serving as a primary point of contact for internal and external communication. The Executive Secretary prepares reports, presentations, and documents with accuracy, organizes office events and meetings, assists with project coordination and progress tracking, manages expenses and budgets, maintains data and record systems, and oversees office supplies and vendor interactions. The role requires attention to detail, organizational skills, and proficiency in MS Office Suite and office management software.

Key responsibilities
- Organize and maintain office files, documents, and records with confidentiality
- Coordinate and manage meetings, appointments, and leadership calendars
- Arrange travel and resolve scheduling conflicts as needed
- Serve as point of contact for internal and external communications, including calls and emails
- Prepare and proofread reports, presentations, and other documents for accuracy and professionalism
- Plan and coordinate office events, meetings, and conferences
- Assist with project tracking and updates to ensure deadlines are met
- Process invoices, track expenses, and support departmental budget management
- Maintain accurate and updated data in databases and spreadsheets

Experience & skills
- High school diploma required; associate’s or bachelor’s degree preferred
- 1–3 years of administrative or office support experience preferred
- Proficiency in MS Office Suite including Word, Excel, PowerPoint, and Outlook
- Familiarity with office management software
- Strong written and verbal communication skills
- Excellent organizational and multitasking abilities
- Attention to detail and accuracy
- Ability to work independently and collaboratively in a fast-paced environment
