Job description
The Assistant Administration Manager is responsible for supporting the efficient operation of The Red Sea Landscape Nursery under Botanica, a subsidiary of Red Sea Global. The role encompasses financial management, including budgeting, tracking expenses, and identifying cost-saving opportunities; inventory management such as tracking stock levels, forecasting demand, and ordering plant materials; quality control of plant materials and goods through inspection and performance monitoring; administrative support across departments including scheduling, meeting coordination, and record maintenance; operational improvement by identifying inefficiencies and implementing productivity-enhancing changes; stakeholder and government communication to maintain operational transparency; policy and compliance management to enforce internal procedures and regulatory adherence; system management including overseeing nursery systems and providing staff training; project management in collaboration with cross-functional teams to ensure proper planning, execution, and monitoring of timelines, resources, and deliverables; and documentation and record-keeping including contracts, leases, insurance, and employee records to ensure legal compliance. Additional responsibilities include guest management and official visits, office management, and adherence to safety, quality, and environmental policies. The role also contributes to continuous improvement initiatives, cost reductions, and productivity enhancements following international best practices, while interacting with internal stakeholders such as nursery staff and leadership, and external stakeholders including government bodies.

Key responsibilities
- Assist in preparing and monitoring the budget for administration activities, track expenses, generate reports, and identify cost-saving opportunities
- Support inventory control by tracking stock levels, forecasting demand, and ordering plant materials and other necessary goods
- Ensure that all plant materials and goods meet quality standards, including inspecting deliveries, monitoring performance, and resolving quality-related issues
- Provide administrative support across departments by managing schedules, coordinating meetings, and maintaining records
- Assist in identifying operational inefficiencies and implement changes to enhance productivity and streamline processes
- Maintain regular communication with stakeholders and government bodies regarding nursery operations
- Assist in the development and enforcement of administrative policies and ensure compliance with internal procedures and external regulations
- Oversee nursery systems and ensure they function properly, providing necessary training to staff on system usage
- Collaborate with cross-functional teams on projects, ensuring proper planning, execution, and monitoring of timelines, resources, and deliverables
- Maintain accurate documentation of administrative activities, including contracts, leases, insurance, and employee records, ensuring legal and regulatory compliance
- Organize and manage official visits to the nursery, ensuring a positive guest experience
- Oversee the organization and distribution of office space for employees, ensuring a well-maintained and efficient office environment
Experience & skills
- Bachelor's degree in business administration, horticulture, or a related field
- 4-6 years of experience in administration, management, or a related field
- Proficient in English, both written and spoken
- Strong organizational and prioritization abilities
- Excellent numeracy, attention to detail, and accuracy
- Strong analytical, problem-solving, and decision-making skills
- Ability to thrive in a multi-cultural environment
- Excellent communication skills for engaging with stakeholders, customers, and regulatory bodies
