Job description
The Senior Manager Document Control role at Abu Dhabi Airports is responsible for leading and managing the Document Control, Records, Retention, and Archive Storage functions for capital development projects across the five airports within Abu Dhabi and potentially other UAE airports, such as Fujairah International Airport. The position ensures the development, management, maintenance, and continuous improvement of document control practices within the CP&C division and across Abu Dhabi Airports in compliance with national and international laws, rules, and regulations. The role encompasses policy development, departmental governance, audit participation, budget management, business case preparation, and leadership of document control staff. Responsibilities also include monitoring document accuracy, identifying technology needs for automation, fostering stakeholder relationships, conducting risk analyses, and ensuring quality and compliance across all document control processes. The Senior Manager serves as a key interface between internal and external stakeholders, oversees performance appraisals and training of subordinates, and ensures adherence to HR, legal, risk, quality assurance, and organizational guidelines while driving operational excellence and digital transformation in document management.

Key responsibilities
- Develop, maintain, and continuously improve Document Control practices to ensure all project and corporate documentation comply with national and international regulations.
- Oversee departmental adherence to laws, rules, regulations, and standards in managing projects and corporate documentation, ensuring quality and compliance.
- Execute department policies and procedures for Document Control and Archive Management, including participation in audits and quality assurance checks.
- Manage and approve department budgets in coordination with the Document Control Manager, and develop business cases or proposals for management review.
- Participate in the development, implementation, and review of Document Control policies, procedures, management plans, SOPs, and guidelines across the organization.
- Prepare management presentations using charts, models, and graphics to communicate document control status, trends, and initiatives to senior leadership.
- Conduct performance appraisals, recommend actions for subordinates, and identify training needs while coordinating outcomes with HR.
- Collaborate with HR to forecast future manpower needs and ensure effective staffing of document control functions.
- Monitor document control processes for compliance with internal standards, procedures, contracts, and regulations while identifying opportunities for automation and cost optimization.
- Provide guidance to document control staff to maintain the highest quality standards, ensuring accuracy of data entry and completeness of records.
- Maintain effective relationships with internal and external stakeholders to address document control issues, compliance, and operational support.
- Conduct risk analyses, implement mitigation plans, and maintain an accurate and up-to-date documentation database.
- Ensure adherence to safety guidelines, maintain an organized workspace, and report hazards while promoting a culture of safety within the department.
- Oversee periodic audits of policies and procedures to ensure compliance and recommend remedial actions for quality or compliance issues identified.
- Prepare and submit periodic management reports, incorporating insights and feedback into operational and strategic decision-making.
Experience & skills
- Bachelor’s degree in a relevant discipline or equivalent experience in document control or records management.
- Minimum of 8 years of relevant experience in document control, records management, or capital project documentation within complex organizations.
- Extensive experience with Document Control software and Enterprise Content Management Systems (ECMS).
- Demonstrated ability to lead teams, manage budgets, and conduct performance appraisals and training for subordinates.
- Strong knowledge of national and international compliance standards, laws, rules, and regulations applicable to document management and archiving.
- Exceptional leadership, communication, and interpersonal skills with the ability to manage complex stakeholder relationships effectively.
- Proficiency in preparing management reports, presentations, and dashboards to communicate operational insights and progress.
- Strong analytical and risk management skills with a focus on quality, compliance, and digital transformation in document control processes.
- Customer-focused mindset, safety and compliance orientation, and ability to work under tight deadlines in a high-stakes environment.
- Digital literacy and familiarity with tools to automate document management processes and optimize departmental efficiency.
