Job description
The Document Management Lead at Wood in Sharjah, UAE is responsible for managing and coordinating all aspects of document control for major brownfield oil and gas projects. This includes leading a document control team, overseeing document workflows, ensuring compliance with client and regulatory standards, and managing the archiving and retrieval of project and corporate records. The role demands advanced proficiency in electronic document management systems (EDMS) such as SharePoint, Documentum, or ProjectWise, and strong capabilities in document handling, reporting, and QA compliance. Responsibilities include maintaining accurate documentation, preparing reports, managing the document distribution matrix, training personnel on document systems, and contributing to project close-out and dossier preparation. The role also involves direct communication with project managers, clients, and third parties to align documentation processes and ensure project requirements are met efficiently. Candidates must have at least 15 years of experience in oil & gas projects, advanced IT skills, and a structured approach to high-volume documentation environments.
Required skills
Key responsibilities
- Oversee and manage the document control team, setting workloads and performance management
- Ensure all documentation is accurately imported and filed in the document management system
- Coordinate archiving, indexing, and retrieval of project and corporate records
- Ensure timely transmission of documents to clients per requirements
- Maintain both hard copy and electronic files in compliance with QA standards
- Generate and manage document control system reports
- Ensure document management procedures meet project and client requirements
- Independently manage project documentation using EDMS
- Monitor in-house and client reviews of technical documents
- Compile final project dossiers and archiving materials
- Establish comprehensive project filing systems
- Produce performance and exception reports for project management
- Ensure invoice and cash call documentation is properly tracked and processed
- Train internal and external personnel in document system usage
- Facilitate resolution of procedural issues in documentation processes
Experience & skills
- B.Sc. or equivalent degree in Engineering from an accredited university
- Minimum of 15 years of relevant experience in brownfield oil & gas projects
- At least 5 years in a document management lead or supervisory role
- Advanced proficiency with SharePoint, Documentum, ProjectWise, or similar systems
- Advanced knowledge of MS Office Suite and Adobe
- Experience in supervising document control teams
- Strong communication and interpersonal skills
- Organized with a logical and detail-oriented approach
- Proven ability to lead and develop teams in a high-pressure environment
- Experience in technical document reviews and electronic filing systems
