Job description
The Executive Coordinator – Legal Department is responsible for providing comprehensive secretarial and administrative support to the Head of Legal, ensuring the efficient operation of the department. The role encompasses advanced calendar management, coordination of meetings and group activities, travel arrangements, and the preparation of high-level documentation including memorandums, contracts, investigation reports, and Board meeting materials. The incumbent acts as a key administrative liaison between the Legal Department and other internal stakeholders, maintaining accurate records, safeguarding confidential legal and business documents, and managing legal tracking registers. This position requires strong bilingual communication skills in English and Arabic, meticulous attention to detail, and the ability to manage multiple administrative priorities while maintaining strict confidentiality. The Executive Coordinator also supports legal and business initiatives by gathering information, coordinating with cross-functional teams, maintaining updated databases, and ensuring timely follow-up on document circulation and approvals. The role plays a critical part in maintaining operational efficiency, compliance, and professional standards within the Legal function.

Key responsibilities
- Manage scheduling and coordination of departmental meetings, group activities, and executive appointments
- Oversee calendar management for the Head of Legal, ensuring optimal time planning and prioritization
- Arrange travel logistics, maintain leave databases, and provide administrative guidance on company policies
- Prepare, print, and organize memorandums, contracts, case sheets, investigation reports, and Board of Directors meeting minutes
- Handle documentation related to general assemblies and subsidiary entities
- Receive and coordinate visitors, notifying relevant colleagues and ensuring professional reception
- Manage couriers, letters, faxes, and official correspondence, ensuring tracking and follow-up in case of delays
- Maintain updated contact lists to support effective internal communication
- Organize and maintain department files, legal contracts, correspondence, and update legal databases to ensure secure custody and accessibility
- Maintain Legal Tracking Register and monitor the return of documents provided to requestors
- Support legal and business projects by coordinating with cross-functional teams and following up on deliverables
- Act as backup support for other Executive Coordinators when required
- Perform additional administrative and coordination tasks as directed by the line manager or department colleagues
Experience & skills
- High School Diploma or equivalent; secretarial certification preferred
- 3–5 years of prior experience as a department coordinator or in a similar administrative role
- Strong written and spoken English and Arabic language skills
- Strong organizational and time-management skills
- High level of discretion and ability to handle confidential legal documentation
- Proficiency in standard office software and administrative systems
- Ability to multitask and work effectively in a structured corporate environment
