Job description
The Business Assistant role within J.P. Morganās Commercial & Investment Bank in Abu Dhabi serves as a core administrative and operational support function, acting as an executive partner to stakeholders while representing the bank with professionalism and courtesy. The role functions as a gatekeeper and problem solver, adding control and structure to day-to-day operations and increasing stakeholder productivity. The incumbent works closely with the administrative assistants team, leads and coordinates ad hoc projects, and serves as a subject matter expert on internal policies and procedures. Responsibilities include maintaining complex calendars, coordinating internal and external meetings, managing domestic and international travel logistics, organizing offsite conferences and external events including catering and transportation, processing invoices and T&E expense claims in line with bank policies, producing high-quality written communications, and ensuring seamless administrative execution within a fast-paced banking environment.
Required skills
Key responsibilities
- Maintain complex and detailed calendars and manage coordination and logistics of internal and external meetings
- Arrange and coordinate domestic and international travel for stakeholders
- Organize offsite conferences and external events including catering and transportation arrangements
- Process invoices and travel and expense claims in accordance with policies and provided guidelines
- Act as a subject matter expert on administrative policies and procedures
- Produce high-quality emails and written communications for individuals at all organizational levels
- Work cooperatively with the administrative assistants team to provide mutual operational support
- Lead and coordinate ad hoc administrative and operational projects as requested
Experience & skills
- Demonstrate excellent English language proficiency in reading, writing, and speaking
- Have prior experience in a banking environment or multinational corporation
- Possess strong organizational capabilities for managing competing priorities
- Demonstrate experience handling confidential matters and interacting with senior management
- Show strong proficiency in Microsoft Office applications
- Exhibit professional telephone etiquette and calendar management capability
- Be willing to perform the Executive Assistant role and go beyond standard responsibilities
