Job description
The Maintenance Planner (West Region) at Panda Retail Company is responsible for planning, scheduling, and coordinating preventive, corrective, and predictive maintenance activities to ensure high operational reliability and efficiency across all retail store facilities. This role oversees maintenance of key assets including HVAC, electrical systems, refrigeration units, fire protection systems, and civil works. The planner ensures all maintenance jobs are properly resourced with required materials, manpower, and tools, while minimizing downtime and maintaining cost control. The position involves preparing weekly and monthly preventive maintenance schedules, prioritizing work orders in the CMMS system, and coordinating with procurement, warehouse, and operations teams to ensure timely delivery of spare parts and materials. Additionally, the role includes generating and analyzing key performance indicators (MTTR, MTBF, and schedule compliance), maintaining records of maintenance activities, and supporting continuous improvement initiatives. The Maintenance Planner ensures compliance with safety standards and Civil Defense regulations, conducts periodic inspections and audits, and contributes to certification renewals. The ideal candidate will possess strong technical knowledge in mechanical, electrical, and facility systems, with hands-on experience using CMMS tools like Maximo or SAP PM.

Key responsibilities
- Develop and maintain preventive maintenance (PPM) plans for all facility assets including HVAC, electrical, fire systems, refrigeration, and civil works
- Prepare detailed weekly and monthly maintenance schedules in coordination with operations and maintenance teams
- Ensure all scheduled maintenance jobs have the necessary materials, tools, and manpower available before execution
- Review and prioritize work requests based on urgency and operational impact
- Create, assign, monitor, and close work orders within the CMMS system ensuring quality completion
- Generate purchase requisitions (PRs) for spare parts, tools, and maintenance materials
- Coordinate with procurement and warehouse teams to track delivery and maintain availability of critical spare parts
- Monitor and maintain optimal inventory levels for essential maintenance components
- Assign technician tasks according to workload, skill level, and store priority
- Liaise with external contractors and vendors to schedule specialized maintenance services
- Ensure full compliance with approved preventive maintenance schedules and standards
- Analyze maintenance performance data to identify recurring issues and recommend reliability improvements
- Maintain accurate documentation of maintenance records, spare part usage, and equipment downtime
- Generate and present KPI reports such as Mean Time To Repair (MTTR), Mean Time Between Failures (MTBF), and schedule compliance metrics
- Ensure all maintenance activities comply with safety and Civil Defense regulations
- Support audits, inspections, and certification renewals for facilities maintenance operations
Experience & skills
- Diploma or Bachelor’s degree in Mechanical, Electrical, or Industrial Engineering (or equivalent)
- 3–5 years of experience as a maintenance planner or coordinator, preferably within retail or facility management sectors
- Strong technical knowledge of HVAC, electrical, refrigeration, fire protection, and building systems
- Proficiency in Computerized Maintenance Management Systems (CMMS) such as Maximo or SAP PM
- Experience with procurement and inventory control processes
- Understanding of maintenance planning and scheduling methodologies
- Knowledge of safety procedures and regulatory compliance standards including Civil Defense requirements
- Analytical skills for maintenance data interpretation and KPI reporting
- Strong problem-solving and decision-making abilities
