Job description
The Document Manager at Siemens Mobility Branch KSA is a full-time, fixed term, office/site-based role in Riyadh supporting large-scale rail and metro infrastructure projects within the Mobility organization. Siemens Mobility delivers rail vehicles, rail automation, road traffic management systems, rail electrification, and services, and plays a key role in the Riyadh Metro project, a 176-kilometer driverless metro system aligned with Vision 2030. The Document Manager is responsible for supporting the creation, organization, and maintenance of project documentation using a Document Management System (DMS) such as Aconex, ProjectWise, or SharePoint. The role ensures proper document naming conventions, metadata assignment, version control, and document traceability in accordance with project and company standards. Responsibilities include distributing documents to internal and external stakeholders, monitoring document status (submitted, reviewed, approved, rejected), maintaining up-to-date document registers, generating periodic document control reports with status tracking and outstanding actions, and assisting with documentation audits to ensure compliance with contractual requirements, quality standards, and internal procedures. The role requires coordination with engineering, testing, procurement, quality, and project teams to ensure the document repository remains accurate and current. Candidates must demonstrate familiarity with document control workflows, version management, engineering or infrastructure project processes, and be comfortable working with Microsoft Excel, PDF tools, and online collaboration platforms within a structured and systematic document control environment.

Key responsibilities
- Support the creation, organization, and maintenance of project documentation using the Document Management System (DMS) such as Aconex, ProjectWise, or SharePoint in alignment with project and company standards.
- Ensure accurate document naming conventions, metadata assignment, version control, and document traceability to maintain integrity and structured document control workflows.
- Distribute documents to internal and external stakeholders, follow up on reviews, comments, and approvals, and monitor document status including submitted, reviewed, approved, and rejected states.
- Maintain up-to-date document registers and generate periodic document control reports including status tracking and outstanding actions to provide visibility on documentation progress.
- Assist with documentation audits and ensure compliance with contractual requirements, quality standards, and internal procedures within rail and infrastructure projects.
- Coordinate with engineering, testing, procurement, quality, and project teams to ensure the document repository remains accurate, complete, and aligned with infrastructure project documentation processes.
Experience & skills
- Hold a Bachelorβs degree in Business Administration, Information Management, Engineering, or a related field relevant to document control and infrastructure project environments.
- Demonstrate experience using Document Management System (DMS) platforms such as Aconex, ProjectWise, SharePoint, or similar document control systems.
- Exhibit understanding of document control workflows, version management, document registers, metadata assignment, and traceability requirements within engineering or infrastructure project processes.
- Show ability to ensure compliance with contractual requirements and quality standards through documentation audits and structured document control reporting.
- Be proficient in Microsoft Excel, PDF tools, and online collaboration platforms to manage document control reports, status tracking, and stakeholder coordination in an office/site-based project environment.
