Job description
The Conveyancing Officer at Provident is responsible for managing the end-to-end property sales process in Dubai, ensuring seamless transactions from reservation to final transfer. The role involves coordinating with buyers, sellers, lenders, agents, developers, trustees, and other stakeholders to obtain and verify all required documentation. The officer ensures compliance with Dubai Land Department regulations, developer requirements, and company policies, while providing timely updates, managing administrative tasks, and handling payments and receipts. This position requires detailed knowledge of NOC applications, transfer procedures, sales progression, and property-related legal documents such as POAs. The officer is expected to maintain case sheets and CRM data accurately, deliver weekly reports, and act as the primary point of contact for clients to resolve queries efficiently. The role emphasizes maintaining professional conduct, ensuring customer satisfaction, and achieving sales targets while coordinating multiple parties and resources effectively.

Key responsibilities
- Take overall responsibility for the progression of property sales from reservation to transfer, coordinating with buyers, sellers, lenders, agents, and governing agencies to obtain all relevant documents
- Handle all enquiries from sellers or purchasers, providing guidance on the sales progression process and offering support throughout the entire transaction
- Send introductory communications including welcome emails and phone calls to clients, explaining procedures, timelines, and requirements for NOC and property transfer
- Inform all parties about required documentation, ensure documents are correct, and follow up on pending submissions to facilitate smooth NOC applications and transfer procedures
- Update buyers, sellers, and other relevant stakeholders on due payments, provide periodic reports, and ensure compliance with payment schedules including deposits, NOC fees, service charges, and agency commissions
- Attend and support all NOC applications and property transfers, providing all relevant documents on behalf of clients and liaising with developers, trustee offices, and financial institutions to complete transactions
- Coordinate with clients, bankers, valuators, and other stakeholders for property evaluations, NOC, and transfer appointments, scheduling meetings to ensure timely completion
- Maintain accurate case sheets and CRM records, report weekly to Head of Sales Progression, and ensure all data is captured in accordance with company procedures and regulatory requirements
- Collect, process, and reconcile all payments related to property transactions, including cheques, receipts, deposits, and fees; ensure proper acknowledgement and secure documentation
- Verify legal documents such as POAs, mortgage liability letters, and bank final offer letters to ensure compliance with Dubai Land Department and developer requirements
- Represent Provident professionally and ethically in all dealings, maintain high standards of integrity, and proactively resolve any unforeseen obstacles to achieve client satisfaction
- Coordinate with internal and external stakeholders including drivers, finance teams, agents, and banks to manage document collection, payments, and administrative processes efficiently
- Ensure all activities comply with company rules, values, policies, procedures, standing orders, and financial regulations, maintaining high levels of customer service and operational excellence
Experience & skills
- Experience as a Conveyancing Officer or Sales Progression Officer within the Dubai real estate market
- Fluency in Arabic to communicate effectively with clients and stakeholders
- Valid UAE driving license to facilitate document collection and site visits
- Strong knowledge of property sales processes, NOC applications, and Dubai Land Department regulations
- Proficiency in handling legal documents such as POAs, transfer forms, and mortgage letters
- Experience managing administrative processes, client communications, and payments related to property transactions
- Ability to coordinate with multiple stakeholders including buyers, sellers, developers, bankers, agents, and trustee offices
- Excellent organizational, reporting, and CRM management skills to maintain accurate transaction records
- Strong communication, problem-solving, and client relationship management skills to ensure smooth progression and customer satisfaction
