Job description
The Local Affairs Executive at DHL Express UAE is responsible for delivering comprehensive administrative and operational support to the Local Affairs Manager and department, primarily focusing on government relations, visa processing, and employee documentation services. The role manages the end-to-end processing of employment visas and labor cards, including renewals, cancellations, and new applications, ensuring compliance with UAE government regulations and internal procurement procedures. Responsibilities include processing POS and GRN transactions, maintaining accurate system records, handling Emirates ID applications, coordinating medical reports, and supporting free zone applications. The position requires continuous interaction with employees, government authorities, and external service providers to facilitate approvals, labor contract amendments, designation changes, and unemployment insurance (ILOE) compliance. The executive also prepares PRO expense claims, manages administrative reports, supports audits and compliance, and ensures accurate documentation and record keeping. Additionally, the role involves advising employees on visa and labor-related procedures, managing document submissions, coordinating access passes, and handling business facilitation tasks. The position demands strong administrative expertise, knowledge of UAE government processes, and the ability to manage multiple tasks efficiently in a fast-paced logistics environment while maintaining high standards of integrity and accountability.

Key responsibilities
- Provide full administrative support to the Local Affairs Manager and department for visa and labor card processing
- Manage and maintain Local Affairs reports, ensuring accuracy and timely updates of system data
- Process POS and GRN transactions for department applications in compliance with procurement procedures
- Submit documentation to relevant authorities for visa approvals, renewals, and new applications
- Follow up on medical reports, Emirates ID processing, and visa stamping procedures
- Prepare and process PRO expense claims and requisitions for employee requests
- Handle Freezone applications including renewals, cancellations, and access pass processing
- Coordinate with service providers for document submission, tracking, and completion of government services
- Support employees with labor contract amendments, designation changes, and unemployment insurance (ILOE) compliance
- Provide guidance to employees on visa, labor card formalities, and government-related procedures
- Maintain accurate records and documentation for all Local Affairs services ensuring compliance and audit readiness
- Respond to employee and family requests related to government services and business facilitation tasks
Experience & skills
- Minimum 5 years of administration experience including at least 3 years in local affairs and government relations
- Experience working with local authorities and handling visa and labor-related processes
- Strong knowledge of visa processing, labor cards, Emirates ID, and government documentation procedures
- Proficiency in Microsoft Office and administrative reporting tools
- Excellent English communication skills including writing, reading, and speaking
- Arabic language skills considered an advantage
- Ability to manage multiple tasks, meet deadlines, and work under pressure
- Strong understanding of procurement processes including POS and GRN
- Experience coordinating with service providers and managing documentation workflows
- High attention to detail with strong record-keeping and compliance capabilities
