Job description
The Office Administrator role is responsible for anchoring and supporting the growing corporate presence in Riyadh by ensuring seamless daily operations of the KSA headquarters and providing high-level administrative and executive support to local leadership and visiting global executives. The position involves managing complex executive calendars, coordinating high-profile stakeholder visits, overseeing office setup and daily operations, liaising with vendors and government PRO services, and ensuring workplace standards. The role also includes planning and executing events, workshops, and office openings, maintaining meticulous records of correspondence and meetings, handling expense processing and travel arrangements, and supporting cross-functional project teams. Advanced proficiency in Power BI and Excel is required for data visualization and reporting, alongside bilingual Arabic and English communication to operate effectively within the local Saudi business environment and multinational corporate context.
Required skills
Key responsibilities
- Manage complex executive calendars and meeting schedules for Riyadh-based leadership and visiting global executives, ensuring efficient time management and no overlaps
- Coordinate all logistics for meetings and official visits including venue booking, security access, preparation of materials, and attendee management
- Support the setup and ongoing daily operations of the Riyadh office including supplies management, facility maintenance, and workplace standards
- Act as the primary point of contact for vendors and service providers including IT support, building management, PRO services, and general suppliers
- Provide high-touch hospitality and hosting services for visiting stakeholders and official delegations
- Plan and manage logistics for events, workshops, and office openings including catering, audiovisual requirements, and guest invitations
- Maintain accurate digital and physical records of official correspondence, meeting minutes, and invitations
- Handle administrative tasks such as expense processing, travel arrangements, and ad-hoc support for project teams
Experience & skills
- 3–5 years of experience in office administration or executive coordination within a multinational corporate environment or high-growth startup in KSA
- Bachelor’s degree in Business Administration, Hospitality, or a related field
- Strong understanding of Riyadh geography, venue landscape, and local business etiquette
- Bilingual proficiency in Arabic and English
- General knowledge of Saudi labor laws and office registration processes
- Advanced proficiency in Power BI and Microsoft Excel including lookups, pivot tables, and dashboard creation
