The Department Coordinator role at DP World in Dubai provides comprehensive administrative, secretarial, coordination, and operational support within a large, global trade and logistics organization spanning ports, terminals, marine services, logistics, and technology. The position delivers full administrative support to senior managers, including calendar management, meeting coordination, travel arrangements, document preparation, agenda creation, minute taking, and correspondence handling. The role supports departmental reporting, KPI reviews, financial analysis inputs, and annual budget preparation, while maintaining accurate databases of internal and external stakeholders and ensuring compliant document archiving in both electronic and physical formats. Acting as a central coordination point, the Department Coordinator liaises with internal teams, external partners, clients, and visitors, tracks departmental projects, supports special initiatives and events, and manages staff administration activities such as leave planning, attendance, overtime, duty resumptions, outsourced staff administration, and trainee coordination through PD systems. The position also supports training coordination, procurement and finance activities including purchase requisitions, OPEX and CAPEX requests, GRNs, contract renewals using Oracle Fusion, MAXIMO, or other systems, petty cash handling, inventory control, and office facilities readiness. The role ensures compliance with HSE, Information Security, Code of Conduct, quality, risk, and corporate governance requirements, while maintaining confidentiality, data accuracy, and secure records management across all departmental activities.
